Schedule a Notice of Examination

You can select a notice to be scheduled for a voter to advise them of an issue that may affect their eligibility to vote from either the voter's record or from the Eligibility Match Queue.

Schedule the Notice From the Voter's Record

From a voter's record, you can schedule the following types of examination notices:

To schedule the notice:

Go to VOTER REGISTRATION > Voter Maintenance.
Search for and open the voter's record. To proceed, the voter must be assigned an eligible status.
Click the Eligibility Maint tab.
Click Schedule Notice of Examination.

Note: The button is disabled for the CtznRevTX record type. A Notice of Examination cannot be scheduled for this type.

Select from the Process Type drop-down list.

Click Schedule Notice to schedule the letter in the Notices Queue. The notice is now ready for print from the queue.

Important: Run the Process Non Response to Notice program to find voters who were printed a Notice of Examination due to potential ineligibility at least 30 days ago and whose notice status is Notice Printed or Notice Returned Undeliverable. This program changes these voters to T(P), Failure Respond Investigation status. The next TEAM Interface > Export Voter Data run will include cancellation code 16, Failure to Respond to Notice of Investigation, and the appropriate match origin code to identify the source of the notification that led to the cancellation.

Schedule the Notice From the Eligibility Match Queue

From the Eligibility Match Queue, you can schedule the following types of examination notices. Click a link in the Match Record Type column to view the procedure.

Either method adds a Notice Scheduled record status to the Eligibility Maint tab and the Eligibility Match Queue for the voter and type selected. It also starts a 30 day response window in which the voter can respond to confirm or deny ineligibility. After the notice is printed, the record status changes to Notice Printed.

After the voter has responded or the 30 day window has expired, you can return to the Eligibility Maint tab or go to the Eligibility Match Queue to select the record and choose an action based on the following results:

Voter denies ineligibility. Voter remains in Active status.
Voter admits ineligibility. Voter is updated to an ineligible status and a Notice of Cancellation, notice type 44, is scheduled in the Notices Queue.
Voter fails to respond. Voter is updated to T(P), Failure Respond Investigation, status and a Notice of Cancellation, notice type 44, is scheduled in the Notices Queue.
